Hello,

 

Purging the lists from the server is already provided in  Listmaster Admin > Lists >  View Closed Lists report.

 

Problem is that this list doesn’t include the closing date of each list.

What we do to fix it, is that each time we close a list, we change its name and add the date at the beginning -> we then have a sorted list of closed list, and can, from time to time, delete the lists closed more than 6 months ago.

That is not very convenient.

The data is there in two reports under Listmaster Admin > Lists:

* view lists sorted by creation date -  https://list.some.server/lists/get_latest_lists

* View Lists sorted by last message date - https://list.some.server/lists/get_inactive_lists

 

Ideally, providing a  [ ] close checkbox for each row on these reports would be very convenient for listmasters to manage this task.   Additionally, a column sort capability for the report results would be helpful in searching for specific list characteristics.   

 

As a work around, I typically copy/paste the report to an excel spreadsheet, sort as needed to identify the target lists and then feed the target list names to a shell script that closes the lists via the command line.   Purging the lists from the server is already provided in  Listmaster Admin > Lists >  View Closed Lists report.

We did recently setup a process to detect inactive mailing lists and do some cleanup in our mailing lists server.

It worked pretty well and we will probably run it yearly now.

Here is the process:

1.   detecting inactive/ead lists: the script loads all lists data to find inactive ones.

o  it checks:

§  latest distribution date,

§  if defined owners are valid addresses

§  creation date

§  number of list members

o  excluded from this process are:

§  lists attached to a family,

§  closed already lists,

§  lists included by another list,

§  lists tagged as "to_keep" (using custom_vars)

2.   performing actions

o  low inactivity level: keep the list open,

o  medium inactivity level: notify list owners that we plan to close the list,

o  high inactivity level: close the list.

We could share that script (asis) if it is useful to others

I’m not seeing anything like that in Sympa – but this is our first use of it so want to check I’m not missing anything.

 

My current idea is to add a keyword and date in a list’s Description, then output a grep of all the lists’ info files for a line containing the keyword – but I don’t want to get into building external scripts to massage that output into a report of expire dates older than X, which my manager would like.
